How to generate certificates from Excel or CSV
Use one certificate design for an entire class, workshop, or training group. Cert Generate inserts each recipient’s name into your template and creates a separate certificate for each row. You can also type names manually for a small batch.
Create your certificates1. Prepare a name list in column A
Put one complete name in each row of column A on the first worksheet. Do not include a heading such as “Name”: it will be treated as a recipient. Other columns are not used. Remove unwanted duplicates before exporting; repeated rows produce repeated certificates.
| Row | Column A |
|---|---|
| 1 | Alex Morgan |
| 2 | Sara Ahmed |
| 3 | Daniel Lee |
Save as .xlsx or UTF-8 .csv. If first and last names are in separate columns, combine them into column A before uploading.
Download a sample CSV with three names2. Upload your certificate design
Open the generator and upload a JPG or PNG under 10 MB. Use a design with a blank area for the recipient name. The course title, date, and fixed certificate wording should already be part of the background design.
Read the certificate template preparation guide if you need help finding or exporting a design.
3. Import the spreadsheet or type names
Choose Continue to names, then Excel / CSV. Upload your file and check the recipient count. For a small group, choose Type names manually and enter names like this:
Alex Morgan, Sara Ahmed, Daniel Lee
Each comma starts a new recipient. Blank entries are ignored. If a name includes a comma, use an Excel cell or a correctly quoted CSV field instead of manual entry.
4. Customize names, logos, and signatures
The preview uses the longest name in your list to help you check available space. Choose a font, size, color, and alignment, then drag the name into position. Reduce the size if the longest name runs outside the intended area.
Add your logo, stamp, or signature as an image and adjust its size and position. For dark ink photographed on white paper, try Multiply blend mode. White blends into the certificate; gray paper and shadows may remain visible. Remove White Background is another option for clean white areas.
5. Download PNG, JPG, or ZIP
Choose PNG for lossless image output or JPG for a compressed image. Both options request individual downloads. Choose ZIP to package the batch as PNG files in one archive. PDF export is not currently available.
Keep the tab open while files are generated. If your browser blocks multiple downloads, allow them or use the Save file links on the download page. Extract a ZIP archive before opening its certificates. Check one result before distributing the batch.
Troubleshooting your batch
- No names found: check column A in the first worksheet and upload .xlsx or .csv.
- A certificate says “Name”: remove the spreadsheet header row.
- Long names overflow: reduce the text size or move the name to a wider part of the design.
- Blurry certificate: upload a higher-resolution original template. Exporting preserves the source dimensions.
- Files disappeared after a refresh: uploads and generated files are held in the current tab session. Upload them again to restart.
